Privacy Policy

How we collect, use and protect your personal information.

This policy explains what personal information Offmap Safaris collects, why we collect it, who we share it with and what choices you have. It applies to this website, to enquiries and messages you send us, to our newsletter and to safaris we arrange for you. We have tried to write it in plain language, and if anything is unclear you can ask us.

1. Who we are

Offmap Safaris is run by Offmap Adventures Limited (“Offmap”, “we”, “us”). We plan private and tailor-made safaris in Uganda, Rwanda, Kenya and Tanzania. We are the organisation responsible for the personal information described here, sometimes called the “data controller”.

2. Information we collect

Information you give us on the website

  • Safari planning form: your name and email address, and, if you choose to give them, your phone number, the destinations and experiences you are interested in, your travel style, your dates or number of days, the number of travellers, the safari you are looking at, and any message you write.
  • Newsletter: your email address, the date you signed up and the date you confirmed. When you subscribe we email you a confirmation link, and you are added to the list only after you click it.

Information you give us in other ways

If you write to us by email, WhatsApp, phone or social media, we keep what you send, including any photographs or documents you share.

Information we need once you decide to book

To arrange a safari we need more detail than an enquiry does. This is collected directly from you, not through the website forms, and may include:

  • the full names of every traveller as shown on their passports, dates of birth, nationalities, passport numbers and expiry dates (needed for permits, park entry, lodges and some transport);
  • flight and arrival details, and an emergency contact;
  • dietary requirements, allergies, and health, fitness or mobility information you choose to tell us so that we can keep you safe and plan suitable activities;
  • details of your travel insurance;
  • records of payments and correspondence.

Information collected automatically

When you visit the website, our systems and some of our providers record technical information such as your IP address, browser and device type, the pages you view, the website that referred you and the time of your visit. This is gathered through server records and our security and content delivery providers and, if you accept analytics, through cookies and similar tools from Google and Microsoft (see section 9).

To stop automated spam, the planning form uses a hidden trap field and briefly limits repeated submissions from the same connection, using a short-lived, scrambled (hashed) identifier based on your IP address. Where we switch on a website security check such as Cloudflare Turnstile, the provider receives limited technical information to tell people from automated programs.

What we do not collect on this website

This website does not take card or mobile-money payments, and it has no customer accounts or passwords. We do not knowingly collect information directly from children (see section 13).

3. How we use your information, and why

Depending on where you live, the law may require us to have a lawful reason (a “legal basis”) for using your information. These are ours:

  • To reply to your enquiry and prepare a quotation: taking steps you ask for before a contract, and our legitimate interest in answering people who contact us.
  • To arrange and run your safari: performing our contract with you. This includes booking lodges, guides, vehicles, flights and activities and obtaining permits.
  • To meet legal duties: for example permit requirements, tax, accounting and safety rules.
  • Health, dietary and mobility information: your consent, given when you choose to tell us, and our need to keep you safe. You can withdraw consent, though it may limit what we can safely offer.
  • Newsletter and marketing emails: your consent, which you can withdraw at any time (section 12).
  • To run and secure the website: our legitimate interest in keeping the site working and safe, using technical records.
  • To understand how the website is used (analytics): your consent, given through our cookie notice. If you do not accept, we do not run analytics.
  • To protect the website and prevent spam or fraud: our legitimate interest in keeping our systems and customers secure.
  • To handle complaints and legal claims: our legitimate interests and legal obligations.

We do not make decisions about you by automated means that have legal or similarly significant effects, and we do not sell your personal information.

4. Who we share your information with

We share only what is needed, and only with:

  • Suppliers who deliver your safari: lodges, camps and hotels, drivers and guides, boat, flight and activity operators, and local partners. They receive the details they need to serve you, such as names, dates, dietary needs and relevant health or mobility information.
  • Wildlife and park authorities: for example the Uganda Wildlife Authority and the Rwanda Development Board, who need traveller names and passport details to issue permits such as gorilla or chimpanzee permits.
  • Banks and payment providers: to receive and record payments.
  • Service providers that help us run the business and this website: web hosting, content delivery and security (including Cloudflare), email and messaging services (which may include Google and WhatsApp) and IT support, and, only if you accept analytics, Google (Google Analytics) and Microsoft (Microsoft Clarity). They act on our instructions or under their own privacy terms.
  • Insurers, professional advisers and authorities: where needed for a claim, legal advice or a legal requirement.
  • A future owner of the business: if the business or part of it is ever sold or merged, subject to this policy continuing to protect your information.

5. Transfers to other countries

Your information may be handled in Uganda, Rwanda, Kenya and Tanzania, where we and our suppliers operate, and in other countries where our service providers keep or process data. These countries may have different data protection laws from your own. Where the law requires safeguards for such transfers, we use appropriate measures, such as contracts and provider commitments.

6. How long we keep your information

We keep information only for as long as we need it for the reason we collected it:

  • Enquiries that do not become a booking: for as long as needed to respond and follow up, then deleted or made anonymous.
  • Booking records: for as long as needed to run the safari and afterwards for the period required by accounting, tax and legal rules, and to handle any complaint or claim.
  • Newsletter: until you unsubscribe.
  • Analytics (only if you accept): for the periods set in our Google Analytics and Microsoft Clarity accounts.

7. Keeping your information secure

This website uses an encrypted (HTTPS) connection. We limit access to personal information to people who need it, keep our website software up to date and use spam and security protections. No method of sending information over the internet or storing it electronically is completely secure, so please do not send us passport images, payment details or other sensitive documents unless we have asked for them, and tell us if you would prefer a different way to send them.

8. Enquiries, email and WhatsApp

When you submit the planning form, the details are saved securely in the website’s database and emailed to our team. If automatic confirmations are switched on, we also send you an acknowledgement. Messages sent through WhatsApp are handled by WhatsApp (part of Meta) under its own terms and privacy notice, which we do not control.

9. Cookies and similar technologies

Cookies are small files stored on your device. This is what we use, and why:

  • Functional (always on): offmap_lang remembers your language choice for up to a year and is set only if you choose a language. offmap_consent remembers your answer to our cookie notice for about six months. WordPress also uses cookies for staff who log in to manage the site, and forms use security tokens.
  • Security and speed: our security and content delivery provider (Cloudflare) and website caching tools may set or read cookies or use scripts to protect the site and load it quickly.
  • Embedded content: where a safari page shows a route map supplied by Google, Google may set cookies when the map loads.
  • Analytics (only if you accept): Google Analytics counts visits and shows which pages are useful. It may set cookies such as _ga and _ga_ followed by an identifier, which usually last up to two years. Microsoft Clarity shows us how people use pages, through clicks, scrolling and anonymised recordings and heatmaps. It sets _clck, which usually lasts up to a year, and _clsk, which lasts about a day.

What we switch off. We do not use advertising cookies. We turn off Google’s advertising features and Microsoft’s advertising storage. We set Clarity so that what you type into our forms is masked and does not appear in recordings.

Your choices. Google Analytics and Microsoft Clarity are switched on only if you press Accept in our cookie notice. If you press Reject, or your browser sends a Global Privacy Control signal, they stay off. You can change your choice at any time with Cookie settings, which is also in the footer of every page. Google also offers a browser add-on to opt out of Google Analytics, and you can delete or block cookies in your browser settings. If you block them, parts of the site, such as remembering your language, may not work.

10. Links and third-party services

This website links to other sites and services, including social media pages, WhatsApp and TripAdvisor. These are run by other organisations with their own privacy practices, and we are not responsible for them. Please read their policies before giving them personal information, for example those of WhatsApp, Google, Microsoft and Cloudflare.

11. Your rights

Depending on the law that applies to you, you may have the right to:

  • ask whether we hold information about you and receive a copy;
  • have inaccurate or incomplete information corrected;
  • ask us to delete your information;
  • ask us to restrict how we use it, or object to certain uses;
  • receive the information you gave us in a portable format;
  • withdraw consent at any time, without affecting earlier use;
  • stop marketing messages at any time; and
  • complain to a data protection authority.

To use any of these rights, contact us using the details in section 1. We may need to confirm your identity first, and we will reply promptly and within any time limit the law sets. Some information we must keep for legal reasons, and we will tell you if that applies.

These rights may derive from laws such as Uganda’s Data Protection and Privacy Act, 2019, the data protection laws of Rwanda, Kenya and Tanzania, and, for visitors in Europe or the United Kingdom, the GDPR and UK GDPR.

12. Marketing emails and unsubscribing

If you join our newsletter, we will send occasional travel ideas, offers and stories. Every newsletter has an unsubscribe link, and you can also email us to be removed. We act on it promptly. We will still send messages needed to run a safari you have booked.

13. Children

This website is not aimed at children, and we do not knowingly collect information directly from anyone under 18. Children may travel with us. Their details are given by a parent or guardian, used only to arrange the safari, and protected like other travellers’ information.

14. Sensitive information

Some details you may give us, such as health, allergy or mobility information and passport details, are sensitive. We ask for them only when needed to keep you safe and to arrange your safari, share them only with suppliers or authorities who need them, and do not use them for marketing.

15. Changes to this policy

We may update this policy as our website, services or the law change. The date at the top shows when it was last changed. If we make an important change, we will tell you in a suitable way, such as a notice on the website.

16. Complaints

If you are unhappy with how we have handled your information, please contact us first so that we can put it right. You also have the right to complain to a data protection authority. In Uganda this is the Personal Data Protection Office, and if you live in the European Union or United Kingdom you can contact your local data protection authority.
